Documentation: Writing Disciplinary Letters
Guidelines for writing disciplinary letters are as follows:
- Typically done in memo format;
- Address to employee / use titles;
- State nature of discipline in subject line;
- State facts leading to letter;
- State performance expectations / impact / consequences;
- Reference any history of corrective action or coaching;
- State consequences if performance does not improve;
- Send copies to department file and central HR file;
- If desired, request HR review prior.
