2011 Orientation - Electronic Resources To Do List
A Little Background Before You Begin:
You are about to set-up and test your access to three systems that you will be using on a regular basis at Medical School: email, lecture videos, and quizzes/exams. By completing each of the steps on the To Do list, you will be ready to use these electronic systems when school starts.
First, a few key terms and concepts in our instructions:
- Outlook Email: The official email system of the Medical School and the University of Michigan Health System (UMHS) is Outlook. You are required to use Outlook for your school-related email.
- CTools: This is the Medical School's curriculum content management system, class announcement tool, and student calendaring tool.
- Uniqname: A uniqname is your electronic user ID and is part of your e-mail address. Uniqnames are made up of three to eight alphabetic characters (for example, bjensen). It is also used in conjuntion with a password (below) to log into various electronic systems. You can tell anyone your uniqname.
- Passwords: You will have three passwords which you will have to use on a regular basis:
- Level-1 (a.k.a., Kerberos) - password for the standard University-wide login system which provides access to CTools, LRC Computers, etc.
- Level-2 - used for your Outlook email and other UMHS online services and applications.
- Honor Code - your password to the Quiz and Exam system.
Your Electronic Resources To Do List:
Required items to do (preferably before Wednesday, August 3)
Please perform these steps in order as each step depends upon successful completion of the previous step.
- Set-up Your Outlook Email (15 minutes)
- Get Ready for Quizzes and Exams (15 minutes)
- Check Your Access to Lecture Videos (10 minutes)
- Take "The Learning Environment Project" questionnaire (15 minutes)
- Decide if you need additional "in-person" help from the LRC (1 minute)

- Coming to the LRC Help Desk in the LRC Computing Lab on Monday, Aug. 1st and 2nd: 8am - 10pm

Instructions
1. Set-up Your Outlook Email (15 minutes)
To set your email, do the following steps in order:
A. Set your Level-2 Password
- Before you begin make sure you have your UMID number from your Mcard
- Go to: http://lvl2.med.umich.edu
- Log in with your Level-1 password
- Click "Click here to reset your Level-2 password" -- this will allow you to set your password
- Follow the instructions from this point forward to customize your password
B. Switch to Outlook
You already have a campus-provided email (mail.umich.edu). You will need to switch to Outlook.

To make the switch:
- Go to: https://mcommunity.umich.edu/
- Login to see your profile by clicking the "log in" link located
at the top right of the page, illustrated below:

- Once logged in, click the "My Profile" link in the upper right
corner (illustrated below).

- Click the "Settings" tab (illustrated below)

- Under "E-mail Forwarding Addresses"
:
- If you only see jdoe@med.umich.edu you are done.
- If you have multiple addresses such as jdoe@mail.umich.edu
AND jdoe@med.umich.edu:
- Remove other email addresses so that the only one left is jdoe@med.umich.edu.
- If you do not see jdoe@med.umich.edu, then click "Add Forwarding Address" and add jdoe@med.umich.edu and remove any others.

C. Check Your Outlook Email Account
To make sure that you Outlook email account is functioning, follow the instructions below.
- Go to: http://email.med.umich.edu and login using your Uniqname and Level-2 password.
- Were you able to successfully login into your Outlook email account?
- If yes, then you are done and can now configure your other devices (if any) using instruction on our Outlook Configuration page.
- If no:
- Come to the LRC Help Desk in the LRC Computing Lab on Monday, Aug. 1st and 2nd: 8am - 10pm

2. Get Ready for Quizzes and Exams (15 minutes)
First, obtain your Honor Code:
- Go to CTools ( http://ctools.umich.edu)
- Login in with your Level-1 Password
- Go to the "M1 2011-2012" site (in tabs across top)
- Select "Dropbox" from the left-hand navigation menu
- Select and open the "Honor Code" document ("yourlastname.pdf")
Now, log in and take a short sample quiz:

3. Check Your Access to Lecture Videos (10 minutes)
There are 2 lecture capture systems in place for Fall of 2011.
The New system is called Mediasite which provides lecture video and high quality Powerpoint slides in one package. The integrated “rich media” format is streamed to you, and can be downloaded for off-network access. Windows users will be able to advance the speed of the lecture up to 2x normal speeds in Internet Explorer. Other browsers, and Mac users, will only be able to view at regular speed currently. Multispeed viewing should be available in January, 2012 for both Operating Systems.
The Old system provides lecture video only (e.g., no high quality PowerPoint slides). The files are stored in Ctools (M1 2011-2012 -> Resources -> M1 Lectures). The video file (mp4 format) allows Mac and Windows users to download the lecture to their computer, and to speed up lecture videos using Apple’s Quicktime player. These files can be also used on iPads or other handheld devices that support the mp4 video standard.
How to test Mediasite
- Make sure that your passwords are set correctly: Click Here.
- Login with you uniqname and level-1 (a.k.a., Kerberous) password -- that is the password you set when you first accepted to come school.
- Once logged into that site, look near the top of the page. You should see two check boxes: UMICH Kerberos and U-M Windows Active Directory. Make sure both are checked.
- Now reset your password.
- Once you have successfully changed your password, click here to go to the Mediasite Test Video
- Login with your Uniqname and Level-1 password.
- If this does not work, please contact lrc_help@umich.edu
- You may be prompted to install the Silverlight player.
- If so, please follow the instructions to install the Silverlight player. It will automatically restart your browser and return you to the Mediasite Test video.
- You should see a window with video and PowerPoint slides.

How to test Quicktime MP4 video:
- Click here to go to the MP4 Test Video
- You may be prompted to login to Ctools using your Level-1 (Kerberos)
password.
- If this does not work, please contact lrc_help@umich.edu.
- The file will play automatically in your browser, or prompt to download, depending on your browser configuration.
- Double click the downloaded video file. It will open in your media viewer program, most likely Quicktime or VLC media player.

4. Take "The Learning Environment Project" Questionnaire (15 minutes)
The University of Michigan is studying the learning environment of medical school in an effort to better understand how to improve it. The link below will take you to a 15 min questionnaire that you will need to complete. Please use your honor code as your ID for the questionnaire.

About this study: The University of Michigan is studying the learning environment of medical school in an effort to better understand how to improve it. UM is also participating in a multi-school study of the learning environment, thus, your data will be used for research purposes as well. You are REQUIRED to complete the questionnaires as part of the Medical School' s on-going quality improvement efforts. We can assure you that all data will have ANY and ALL identifying information removed before being used for any kind of research. Thus, your responses will not be identifiable in any way or linked back to you. If you do NOT wish your data used for research purposes, please indicate this by checking the box on the last page of the web-based questionnaire.
5. Decide if You Need Additional "In-Person" Help from the LRC (1 minute)
- Does your computer "act strange?" Do you need assistance with a computer problem (e.g., virus protection) or your smartphone? If so, you should bring your device to 3901 Taubman Health Sciences Library (next to the LRC Computer Lab) on Wednesday, August 3rd from 2:30-5 PM.
