Research Town Hall
November 30, 2011
1:00 - 2:00 PM
Ford Auditorium
The time for the Research Town Hall is now 1:00 - 2:00 PM. Please mark your calendars and invite your teams.
Being a key contributor to one of the nation’s top medical schools means never standing still. And with an average of ten scientific discoveries published each day, our extraordinary research faculty and their teams continue to drive us forward in improving and enhancing support for their research endeavors.
We do our best to listen to researchers’ needs and concerns and, as a result, provide support while removing barriers that impede their success. Today, we’d like to highlight a few recent improvements that are designed to make conducting research easier:
- Internal Budgets for Fixed Price Agreements No Longer Required Beyond Department – As part of the Contracting Demonstration Project effort to streamline clinical trials and to reduce the administrative burden, the Medical School Grants Office, DRDA, and Fin Ops will no longer require review of an internal budget for these agreements, effective immediately. Instead, departments will ensure that the use of capitated/fixed payments are accurately budgeted and expended to the benefit of the project. For more information contact Heather Offhaus in the Grant Review & Analysis Office (hmills@umich.edu). Click here for implementation details.
- Patient Care Costs on Federal Grants Exempt From Indirect Cost Recovery – After an institutional review of patient care-related charges under our negotiated Research Patient Care Agreement (on federal grants and non-federal projects recovering federal IDC rates), we have affirmed these expenses are exempt from indirect cost (IDC) recovery. Proposals being prepared and active accounts that may have these charges should be reviewed for accounting accuracy. For more information contact Heather Offhaus (hmills@umich.edu). Click here for more details.
- Clinical Trials Office Launched to Support Start Up of Industry-Initiated Studies – MICHR’s Clinical Trials Office will help facilitate the approval process for industry-initiated studies, reduce the time to study initiation, and improve cost recovery. MCTO services include conducting recruitment feasibility assessments, drafting budgets and billing calendars, negotiating budgets, creating initial IRB applications, and facilitating contract approval. For more information contact Jill Malayang (malayajm@umich.edu). Click here for details.
- Assistance with Correcting Billing Errors for Clinical Research Available – Clinical research billing error notifications received from study subjects or as a result of monthly reconciliation of accounts may now be directed to the Calendar Review and Analysis Office. CRAO has immediate access to documents associated with the final approved billing calendar (i.e. protocol, informed consent, etc.) and will be able to review and contact the billing staff to facilitate the timely correction of billing errors. For assistance, email (crbissues-help@umich.edu). Click here for details.
- Online Toolkit Created to Assist with Research Participant Recruitment and Communication of Findings – Information and resources provided in a new Clinical Research Communications Toolkit are designed to help researchers plan for and execute key communication tactics needed to support a successful clinical study, particularly recruiting volunteers and publicizing results. For more information, email (communications-toolkit@umich.edu). Click here for details.
To learn more about these and other accomplishments over the past year as well as the UMHS research enterprise strategic plan, please plan on attending the Research Town Hall, November 30, 1-2 PM, Ford Auditorium.

RESEARCH COMPLIANCE TRAINING AND EDUCATION
Animal Research
Policies, Standard Operating Procedures (SOPs), and guidelines are intended to ensure the quality and integrity of work carried out within the University of Michigan is of the highest standard. Nowhere is this more important than in relation to the use and care of animals in research, teaching, and testing. In the face of a challenging regulatory environment, SOPs, policies and guidelines can help maintain a culture of quality and ensure that we remain “the leaders and the best!” UCUCA and ULAM guidelines, SOPs, and policies are continually evaluated and updated as part of a regular quality assurance program in UCUCA and ULAM. These policies, SOPs, and guidelines define steps and information that keeps U of M in compliance with requirements in the “Guide for the Care and Use of Laboratory Animals” as well as federal regulations (USDA’s Animal Welfare Act and the Public Health Service (PHS) “Policy on Humane Care and Use of Laboratory Animals”). Guideline and policy updates are helpful in drafting protocols and amendments, thus making the UCUCA review process run more smoothly. These same guidelines and policies will improve knowledge of your staff, resulting in improved consistency in research results and better care for the animal participants.
Please check both the UCUCA and ULAM websites frequently for changes and updates to existing polices, SOPs, and guidelines for the use and care of animals here at U of M. And remember, even the best written SOPs and policies will fail if they are not followed. By working together, we can continue to ensure that we are providing the best care possible to the animals we use in research and teaching. If you have any questions regarding UCUCA or ULAM policies, SOPs, and guidelines, please contact us at 734-763-8028 or (ucuca.office@umich.edu).
SHARPENING THE FOCUS:
Tips on Grant Proposal Preparation
By Christine Black, Assistant Director for Research Services, Office of Research
Approach is the third section in the Research Strategy of a NIH R-series proposal (after Significance & Innovation). Here are some basic tips adapted (in part) from an NIAID newsletter.
Spread the news.
Savvy PIs create opportunities to drive their main points home. Don't stop at the Significance section to emphasize your project's importance, and look beyond your biosketches to highlight your team's expertise. For example, look for another opportunity to tie your work to that larger picture, including past research and future applications.
Judicious use of space.
- Use graphics: A picture can be worth a thousand words. Graphics can illustrate complex information in a small space and add visual interest to your application.
- See Tom Annesley’s “Basics of a Good Graph.”
- Make sure your graph is legible and not too complex!
- Be Organized. Here are some principles to follow:
- Add bold headers or an outlining or numbering system—or both—that you use consistently throughout.
- Organize the Approach section around your Specific Aims (unless your study is easier to explain using your tailored headings/subheadings, (e.g., first describe subjects, recruitment, protocol, etc., and then analyze data by aims/hypotheses).
- Consider adding a timetable (even a paragraph of overview of work by year) or flowchart to illustrate your experimental plan, and show reviewers that it is feasible within timeframe of grant.
Write persuasively.
- A tenet of persuasive writing is to first list the arguments of your readers. Try to anticipate reviewers’ questions/objections to your work. Identify those that may be roadblocks, and attend to those with pointed rationale/explanation in your Approach.
- Go to NIH’s study sections roster list to identify reviewers.
- Be familiar with their publications so you can write with those methodology/analyses perspectives in mind.
Details? You need enough detail to convince reviewers that you can handle the method.
- Focus on experiments that highlight your expertise or are especially interesting. For experiments that are pedestrian or contracted out, just list the method.
- Spell out a few sets of experiments to address each aim.
- Cite a publication that shows you can handle the method where you can, but give more details if you/team don't have a proven record using the method—and state explicitly why you think you will succeed.
- You can annotate that citation in your biosketch with more details.
- Be careful about directing reviewers outside of page limits to “see details.” While it makes sense to describe protocol in more detail in sections such as Human Subjects (e.g., power analysis, recruitment procedures), be sure to give summary in Approach, and let reviewer get more information in other sections without calling attention to the re-direct.
See what others have done successfully.

Christine Freeman, Ph.D.by Nicole Casal Moore, News Service and Ian Demsky, UMHS Public Relations
Three U-M researchers have received the nation’s highest honor for professionals at the outset of their independent research careers, the White House recently announced.
Chemist Anne McNeil, atmospheric scientist Christiane Jablonowski, and medical research investigator Christine Freeman are among the 94 recipients of the Presidential Early Career Awards for Scientists and Engineers.
“It is inspiring to see the innovative work being done by these scientists and engineers as they ramp up their careers — careers that I know will be not only personally rewarding but also invaluable to the nation,” President Obama said in the White House announcement.
Freeman, a research investigator in internal medicine, Division of Pulmonary and Critical Care Medicine, was nominated by the U.S. Department of Veterans Affairs. The award will support her research to improve the understanding of how the immune system contributes to chronic obstructive pulmonary disease (COPD), a progressive and debilitating lung disease that is currently the third leading cause of death in the United States. Freeman uses lung tissue from COPD patients to address key questions about the disease.
Jablonowski, assistant professor of atmospheric, oceanic and space sciences, College of Engineering (CoE), was nominated by the U.S. Department of Energy. The award will support her research on new frontiers in climate and weather modeling. Jablonowski uses a technique called adaptive mesh refinement to bridge the spatial scales between local, regional and global phenomena in climate models without the prohibitive computational costs of global high-resolution simulations.
McNeil, assistant professor of chemistry, LSA; and macromolecular science and engineering, CoE, was nominated by the U.S. Department of Defense. The award will support her work developing new organic materials that have applications in emerging technologies such as sensors, solar cells, light-emitting diodes and artificial muscles.
Each year, 16 federal departments and agencies nominate scientists and engineers whose work shows great promise for fostering American leadership in science and engineering and contributing to the awarding agencies’ missions. Awardees are selected for their pursuit of innovative research at the frontiers of science and technology, and their commitment to community service through scientific leadership, public education, or community outreach.

The MIC Fellowship Program assembles a team of talented post-graduates from medicine, engineering, design and business to develop medical technologies which will significantly impact human health. The “anti-disciplinary” nature of the program seeks to blur the boundaries of these disciplines as the fellows work together as a team. The action learning approach begins with a deep understanding of the unmet medical need and progresses through design, prototyping, regulatory and business planning on the way to full commercialization. Graduates of the program go on to start entrepreneurial companies, lead innovation within industry, inspire design thinking or shape health strategy in non-profits and NGOs.
We are currently seeking post graduate applicants, including your alumni students. Our Fellowship Program will provide funds for salary as well as benefits. We are forming two cohorts of fellows, which will begin July 2, 2012. This one year fellowship will end on June 28, 2013. Up to nine post-graduate positions will be available annually. Residents who have completed a minimum of two years of training are eligible to apply.
