Welcome to engage! These instructions will help you to post or edit studies on the Engage website.
Below are staff instructions for posting or editing studies on engage.
Allowable Information:
The engage website is designed to post basic information for IRB-approved research studies. Although you can write your posting at any time, postings can only become active (visible to others) after your study has received IRB approval.
OHRP and FDA guidelines state that, unlike advertisements, these basic postings do not require IRB review separate from initial or ongoing IRB approval. This guidance helps allow engage to be a useful, fast, and streamlined resource. However, in order to be considered a 'basic posting', the posting MUST NOT contain certain types of information.
Your posting MUST NOT promise benefits from participating.
Your posting MUST NOT discuss the risks of participating.
Benefit and risk are complex issues that need to be discussed during an informed consent procedure. The study posting should only provide basic information so that interested persons can contact the study team for further information.
If you discuss risks or benefits, or use language that may suggest a risk or benefit (like 'treatment' or 'cure'), the system will give you a warning. You may be contacted and asked to change your posting or your posting may be deactivated.
Posting Accuracy
Any Bulletin Board study posting that is visible to the public (active) must accurately display current study information. The Bulletin Board study posting must also be synchronized with any other active internet posting pertaining to the same study. For example, a study has a brief description posted on its department's home page. This same study's Bulletin Board posting should reflect that same description. Changes made in either place should be synchronized so that the two descriptions are always the same. In addition, internet study postings should be kept current.

How to add a new posting or edit an existing posting
Log in: Before you can create or edit a posting you will need to log in.
- Underneath the UM Staff / Researcher menu on the left hand side, click on the Post or Edit link. A login box will appear.
- Enter your UMHS Kerberos/Cosign user id and password. If you do not have a UMHS Kerberos/Cosign user id or don't remember your Kerberos/Cosign user id or password, please click HERE
How to add or modify a study posting
Note*: You may enter your study prior to receiving IRB approval. However, it will not be posted to the public until the study has been approved and has a valid PI and IRB # in the University of Michigan IRB Med database or eResearch database.
Add a new study posting: Follow these steps to add a new study posting.
- Choose "Enter a New Study".
- You will need to read and accept the guidelines for study postings in order to proceed.
- Enter your study posting information by filling out the form with all pertinent information. Note*: As creator of the posting, you will have access to this posting at any time. In addition, access will be granted to the PI and Study Coordinator(s) by entering their names in the corresponding fields.
- The Study Title should be no more than 200 characters.
- The purpose should be a two sentence lay description of the purpose of your study.
- The compensation field is a text field which can be filled in as it appears in section 8 of the most recently approved informed consent document(s) under the question: Are subjects paid or given anything for being in the study? However, if there is NO compensation offered, please leave this field blank. This will allow the general compensation search to work properly for your study.
- You may also grant up to 2 additional people access to this posting by putting their names in the Internet Posting Security section of this form.
- If you would like this posting to be used in the Engage Registry in order to find potential subjects for your study, but do NOT want this posting to be visible on the Engage website as a recruiting study, mark the checkbox that is contained in the 'Activation/Deactivation of Internet Posting' section. Helpful Hints for the Study Posting Information form:
Save your study posting: You can save or submit your entry two ways:
- Save for completion later: Use this button if you would like to come back to the form to finish filling it out. This will allow you to save the document without verification of any required fields or dates.
- Activate Posting: Use this button once you have IRB approval for your study and have filled in all the required fields of your posting. Required fields are all fields denoted by the red '*' in front of the field. If the posting contains language that might suggest risks or benefits, you will receive a warning message and may be contacted to change the wording of your posting or to deactivate it. The Activate Posting button will post your study to the internet based on validation of the required fields and the information contained in the Activation/Deactivation section of the posting.

Confirmation: After saving the form, you will be directed to the confirmation page. You may click on the study posting link to:
- Print a copy of the posting as a record of the information you have just added or updated
- View the active posting and/or print the active posting for your records
Modify a study posting: Follow these steps to modify a study posting.
- Select the study you wish to edit on your Study List.
- Choose the corresponding Edit Button for this study. Your study information will appear in an editable form.
- Edit your study by navigating through the form and making the changes you would like to implement.
Delete a Study Posting:
- You may delete a study posting from engage by using the 'Delete' button at the bottom of the Study posting forms. This will REMOVE your study posting from the engage site completely. If you would like to simply deactivate your posting from public view, please see instructions on 'How to activate and deactivate your study' below.
How to activate or deactivate a study posting
Activate a study posting. You can activate your posting by hitting the 'Activate Posting' button. You must have the following information complete and filled out on your study posting form:
- IRB Number: A valid IRB number that is active in the IRB Med database.
- The PI's correct name.
- Activation Date: A start date that is at least equal to TODAY.
- IRB Expiration Date or a Deactivation Date: Enter a deactivation date if the study will stop recruiting before its expiration date.
Deactivate a Study Posting. You can manually or automatically deactivate a posting by following these steps.
You can manually activate or deactivate a listing by:
- Entering a Deactivation Date equal to today's date and saving the form. This will remove the posting from public view.
- Manual deactivation can also be done from the My Bulletin Board page. Find the study that you would like to deactivate on your Bulletin Board page and choose the corresponding Deactivation Button. This will set the Deactivation Date to today's date and remove the posting from public view.
Automatic activation or deactivation:
- The study postings will be automatically deactivated according to the entered Deactivation Date or IRB Expiration Date.
