
Engage Registry Staff Instructions
Welcome to the Engage Registry! These instructions will help you to navigate within the Registry once you have set up a staff account within the Registry.
UM Staff / Researcher - Manage Research Participants
The Manage Research Participants link beneath the UM Staff / Researcher menu allows you to choose several options from the links.
If you are not yet a Registry Staff member, or need a new study added to the registry, send the following information to registry-keeper@umich.edu:
- Your name
- Your UM ID
- The Study IRB Number
The Registry Keeper will set up an account for you and you will then be able to log in and see your potential volunteers.
After logging in through the Members link, you will be asked to choose an account to manage if you have more than one study on engage that you have added to your registry account.
Once you've selected an account, click the "Manage Study" button at the bottom of the page. Your page will then open up the page showing any volunteers that have Requested Contact.
Requested Contact:
Requested Contact will display those Volunteers that have expressed interest in your study by choosing 'Have the Selected Study Contact Me' or by enrolling in the Registry for this study alone. You may look at the Volunteers Information by clicking on the First or Last name. If the Volunteer has granted you access to their Medical Record for screening purposes, they will have a 'Y' under the column 'CareWeb Access'. If you click on the 'Y', Care Web will open in a separate screen. The volunteer's CPI is available in the Volunteer Information section, accessible by clicking on their first or last name.
If you mark one of these subjects as Ineligible, they will move to your 'Ineligible List' (accessible by the menu on the left) and will also receive an email indicating that they are not eligible for this study. Requested Contact is a subset of the Potential Volunteers list (described below). A person cannot be on both lists at the same time.
Potential Volunteers:
Potential volunteers are those research volunteers that have entered criteria that match with the basic criteria of your study. These criteria are gender, age, smoking status, race/ethnicity, location of study, condition preference (if applicable), and compensation preference (if applicable). If you mark these volunteers as ineligible, they move to your 'Ineligible' list, but do NOT receive an email indicating they do not qualify for the study. If you choose the Plan to Contact button, this will be moved to a list (described below) that will allow you to manage this potential volunteer separately.
The Potential Volunteers screen includes a filter that allows you to sort through the potential research volunteers that may have had a previous condition that may be relevant to your study.

Contacted:
The Contacted list displays those volunteers that you have 'Marked as Contacted', whether it was by email, phone, mail or in person. This list is an organizational aid for managing the volunteers you have in the Registry.
Plan to Contact:
The Plan to Contact list displays those volunteers that you have indicated that you will contact later by selecting the 'Mark selected as Plan to Contact' button in your Potential Subjects List. This list is an organizational aid for managing the volunteers you have in the Registry.
Ineligible:
The Ineligible list displays those volunteers that you are marked as ineligible for the study. A volunteer can be removed from this list and reinstated to the Potential Subjects List by clicking on the 'Remove form Ineligible List' button.
The Select a Study link will allow you to switch studies if you are managing more than one study. The Select a Study page will list the studies that you currently manage in the Registry. However, to add or remove a study from your managed studies list, you must contact the registry keeper.
The My Account link beneath the UM Staff / Researcher menu will allow you to update your personal account information. The My Account page will allow you to edit your personal information
If you have a Change Account Link on your UM Staff / Researcher Menu, you have entered another person to manage in Engage. Simply click on this link to move between accounts.
If you have a Change Role Link on your Main Menu, you have more than one role in the Registry (for example, you are a Volunteer as well as a Staff user). Simply click on this link to move between roles.
The Enroll link will bring you to the enrollment page, allowing you to choose what person/persons you’d like to enroll in Engage. The enroll tab allows you to enroll yourself, a child, or another adult as a Volunteer. By clicking on the corresponding link for each group, you will be guided through the consent process for each type of person. These consents will give you important information about the Registry, so please read them very carefully.
Logging Out
You may log out of the Registry at any time. The Log Out button is located at the top, right-hand side of the page
